Conference venues and meeting spaces in Stockholm
Stockholm has meeting space for every format, from a boardroom for twelve to a full congress. For large conferences there are purpose-built venues such as Stockholm Waterfront Congress Centre next to Central Station and Stockholmsmässan in Älvsjö. For smaller meetings, hotel conference floors in Norrmalm and Östermalm keep sessions, meals and bedrooms under one roof. And when you want the setting itself to be part of the experience, the city has plenty of options: a converted brewery on Södermalm, a museum after closing time, or a manor house on an archipelago island.
We shortlist venues against your agenda, negotiate the contract and set up the details — room layout, breakout rooms, AV and technicians, interpreting if you need it, and catering timed around your sessions. That includes a proper Swedish fika: in Stockholm the coffee break is taken seriously, and it’s one of the best moments for your attendees to network.
Hotels for conferences and business groups
Where your group stays shapes the whole trip, so we choose hotels around your programme rather than the other way round. Central Stockholm has large business hotels with their own meeting floors, such as Clarion Hotel Sign and Radisson Blu Waterfront near Central Station, classic waterfront addresses like the Grand Hôtel, and smaller design hotels in Östermalm and Södermalm that suit executive groups and board retreats.
For bigger groups we secure room blocks, and when one hotel can’t take everyone we split the group across nearby properties a short walk apart. We negotiate group rates, manage the rooming list and contract terms, and handle arrival details like early check-ins, dietary requirements and welcome packs, so your attendees just collect their keys.
Incentive experiences and team building
Stockholm is built on fourteen islands, and the most memorable incentive moments usually involve the water. We charter private boats into the archipelago for a day on an island with lunch at a local inn, organise RIB boat rides past the city skyline, and run guided kayaking among the islands in summer. On land, your group can explore Gamla stan with a local guide, walk the rooftops of Riddarholmen in a harness, cook together in a Swedish kitchen, or enjoy a private after-hours visit to the Vasa Museum or ABBA The Museum.
In winter the programme changes with the season: long-distance skating on frozen lakes when the ice allows, sauna followed by a cold dip, or a traditional julbord Christmas buffet in December. Airport and group transfers
Most groups arrive at Stockholm Arlanda, about 40 kilometres north of the city. We meet your guests in the arrivals hall, help with luggage and take them to the hotel by private coach — or, for smaller groups on a tight schedule, we arrange tickets on the Arlanda Express. During the programme we run coaches and minibuses between hotels, venues and activities, and arrange boat transfers when part of the day happens on the water.
Stockholm has congestion charges and strict coach access in the old town, so we plan pickup points and timings in advance and track flights on arrival and departure days. For day trips outside the city — to Uppsala, Sigtuna or Drottningholm Palace — we book vehicles for the whole day, so your group is never left waiting.
Gala dinners and group dining in Stockholm
Stockholm gives you gala settings with real history. Your group can dine beside a 17th-century warship at the Vasa Museum, hold an awards night in the Grand Hôtel’s Hall of Mirrors, where the first Nobel Prize banquet was held in 1901, take over a restaurant on the island of Skeppsholmen, or sail out for dinner on a private boat as the evening light settles over the archipelago. We book the venue, plan the running order and shape the evening around your group, whether that’s a relaxed dinner after a long conference day or a formal banquet to close the programme.
Swedish food is a big part of the night. We work with chefs who cook with seasonal Nordic produce — Baltic herring, gravlax, venison, chanterelles and lingonberries — and can bring Swedish traditions to the table, such as a crayfish party in August or a julbord in December. We take care of seating plans, dietary needs, wine pairings, music, speeches and AV.
On-site coordination and local guides
On most corporate programmes we assign a coordinator who stays with your group from the first transfer to the last. They check each venue is set before you arrive, keep suppliers on time, and adjust the plan when something changes — a delayed flight, a session that runs long, or rain on the day of the boat trip.
For city tours and excursions we provide experienced local guides in English and, on request, other languages. Your team can concentrate on the meeting and on each other, and you always have one person to call who knows Stockholm inside out.
